What SMS messages does tilkbook send?
tilkbook sends SMS at four points in the booking lifecycle, depending on your notification settings:
Booking confirmation — sent immediately when a booking is created. Includes the service name, staff name, date, time, and a link the client can use to manage (reschedule or cancel) the booking.
Appointment reminder — sent ahead of the appointment at the interval you configure. Common options are 24 hours before, 2 hours before, or both. The reminder message repeats the key appointment details and the manage-booking link.
Cancellation notification — sent when a booking is cancelled, whether by the client or by the business. The client receives confirmation that the appointment is off.
Staff new-booking notification — an optional SMS to the assigned staff member when a new booking comes in for them. Useful for businesses where staff are not always checking the dashboard.
All messages are sent from a tilkbook phone number, not your personal number. Clients see the message as coming from your business name in the sender line.
Free vs paid: understanding the distinction
tilkbook is a genuinely free booking platform. Unlimited bookings, unlimited staff, calendar sync, digital business card, waitlist, customer management — all free, no credit card required. Email booking confirmations and reminders are also free on every plan.
SMS reminders sit in the paid upgrade tier for a straightforward reason: each SMS message has a real per-message delivery cost. Email delivery infrastructure is shared and cheap at scale; SMS involves carrier networks, phone number provisioning, and per-message fees from the provider (tilkbook routes SMS through Telnyx). Recovering that cost is why SMS is a paid feature.

Every SMS sent by tilkbook includes a STOP opt-out instruction. When a client replies STOP, tilkbook adds that phone number to a Do Not Contact list for your business. No further SMS messages are sent to that number from your tilkbook account. This is handled automatically — you do not need to manually manage opt-outs.
Clients who opt out of SMS still receive email reminders and confirmations, provided their email address is on file. The opt-out is channel-specific (SMS only) and business-specific (opting out from one tilkbook business does not opt out from another).
For international numbers, delivery depends on the carrier and the destination country’s SMS regulations. tilkbook uses E.164 number formatting, which ensures correct routing for international numbers. If a number is undeliverable, tilkbook logs the delivery failure — the booking is not affected.
The confirm and cancel reply flow
When a client receives a reminder SMS, the message includes a link to the tilkbook manage-booking page. From there, they can:
- Confirm the appointment — a confirmation is logged on the booking record in your tilkbook dashboard
- Reschedule — the client picks a new time, and your calendar updates in real time; you receive a notification of the change
- Cancel — the slot is freed immediately; if you have a waitlist for that service, tilkbook can automatically offer the slot to the next waitlisted client
This flow requires no extra app from the client. The link in the SMS opens in their mobile browser — no account login required for guests. Clients who have a tilkbook account are prompted to sign in for additional options.
Reminder timing: what works for different business types
The right reminder window depends on your business and how much lead time your clients need to rearrange their schedule:
- 24 hours before is the most common single-reminder setup. It gives clients enough time to cancel or reschedule without being so far in advance that they ignore it. This window also matches the no-show fee cut-off for most businesses — if you charge for cancellations inside 24 hours, a 24-hour reminder prompts clients to act while they can still cancel for free.
- 2 hours before catches clients who forgot the appointment is today. It is less useful as a standalone reminder but works well as a second touchpoint when combined with the 24-hour reminder.
- Both (24 hours + 2 hours) is the most effective combination for high-no-show environments like personal training, medical appointments, or tattoo consultations — categories where clients have long lead times and genuinely forget.
Configure your reminder windows in Settings → Notifications. You can change them at any time; the new settings apply to all future reminders.
Setting up SMS reminders in tilkbook
- Upgrade to a paid plan — navigate to Settings → Plan and upgrade. Email reminders continue working on the free plan throughout.
- Go to Settings → Notifications — toggle on SMS reminders
- Set your reminder window — choose 24 hours before, 2 hours before, or both
- Save — all future bookings with a client phone number will receive SMS reminders at the configured intervals
- Verify a test booking — create a test booking with your own phone number to confirm the messages look correct before going live
Existing bookings are not retroactively affected by enabling SMS reminders — the new settings apply to bookings created after you save.
